A weekly school checklist for parents (printable)
6 min readUpdated 6 Oct 2026
Most school weeks go wrong in the gaps, not in the big events. The play is on the calendar. The white shirt is not. The fee was "known about." The cash is still in your other bag. A checklist is how you stop relying on memory at 7:40am.
Print the list below and put it on the fridge, or tick it on your phone and then print a clean copy for the week. It is grouped the way the week actually happens: a planning block, weekday mornings, the five minutes after school, and Friday for the week that has not started yet. Cross out any line that is not your life this term.
How to use it without it becoming another chore
Sunday (or the evening the newsletter arrives) is the only block that needs a clock. Give it fifteen minutes and a seat. The morning lines are a glance, not a project. After school is a standing sort: paper out of the bag before anyone sits down. Friday is when you look at next week, while this week is still fresh enough to know what you forgot.
Dates go on the calendar when you first see them. The checklist is the prep: the signature, the cash, the kit, the message to the other adult. Tick a line when it is done, and cross out anything that is not your term.
What each block is for
Sunday. Empty the school label and the paper pile. Every date this week gets an event before you do anything else. Fees due in the next two weeks get an all-day event on the due date and a note about how you pay. Anything that must be signed for Monday gets signed now, then goes in the folder by the door. Tell the other adult the one fact they will not see unless you say it.
Weekday morning. You are checking, not deciding. Bags, the folder, lunch or lunch money, and whatever the calendar named for today (library, PE, a form). If pickup is different, the school hears it the way they asked: a note, the app, or a call. A text to yourself does not change pickup.
After school. This is where dates go to die, in a crumpled sheet at the bottom of a bag. Empty the bag onto the counter. Photograph a flyer before it goes back into the bag, and copy the dates the same day. Reply to the one email that actually needs a reply. If tomorrow still exists only in your head, put it on the calendar before dinner.
Friday. Look at next week, not this one. Clubs, pickup, a balance on the portal, and anything that needs a shop (a shirt, a gift, a snack for the class). Restock the boring supplies: a pen in the folder, envelopes if the school still wants cash in one. Then stop. A checklist that eats Friday evening will not be used next week.

The faster way
Kinboard is free and in open beta. Paste a note, forward school mail to your household address, snap a flyer, or upload a PDF. Each child has a color. You review items before they sync, or turn on auto-add in Settings for high-confidence dates from a connected school inbox. That switch is off by default. Approved events and deadlines sync to Google Calendar: a reminder one hour before a timed event, and a day-before reminder on an all-day deadline. Fees and to-dos stay on the board, which is the checklist that updates itself, rather than another calendar full of errands. Add the site to your home screen. There is no app store download.
Common questions
Do I tick this every single day?
Use Sunday and Friday as the real appointments. The morning and after-school lines are there so you are not reinventing them when you are half asleep or standing in the hallway. If a line does not apply this term (no lunch money, no reading folder), cross it out on the paper copy and leave it out of your head.
Can I print only the checklist?
Yes. Print this checklist uses your browser's print dialog. The page is set so the header, the long article, and the buttons drop away, and the checklist prints with empty checkboxes. Save it as a PDF if you want the same page on your phone without paper.
What if my week does not start on Sunday?
Run the planning block on whichever evening the next week becomes real for you. For many families that is Sunday. If your school sends the newsletter on Friday afternoon, do the planning block Friday after dinner and let Sunday be a quick look, not a fresh start.
Where do paid items and permission slips fit?
They get two lines, not one. The deadline goes on the calendar (fee due Friday, slip due Wednesday). The checklist gets the prep: get cash, sign the slip, put it in the folder. A calendar ping at breakfast does not produce a signed form if the form is still in a bag.
